GaijinPot Housing Service: Fees

Explanation of the fees associated with the GaijinPot Housing Service.

1 What fees do I have to pay to use the GaijinPot Housing Service?

There are three main fees and also additional fees that may apply.

1. GaijinPot Housing Service Registration Fee

Credit Card Payment

If you pay with a credit card, the initial registration fee is equal to 50% of your Total Monthly Rent (+ 8% consumption tax).

We accept any VISA, Mastercard, American Express or JCB credit card issued in Japan or overseas.

Please be aware that if you choose to pay the registration fee with a credit card, you must continue to pay your rent and monthly fees with a credit card. You may not switch to another payment method (debit card or wire transfer).

Debit Card or Domestic Wire Transfer Payment

If you pay with a debit card or by wire transfer, the initial registration fee is equal to 100% of your Total Monthly Rent (+ 8% consumption tax).

Please be aware that if you choose to pay the registration fee with a debit card or by domestic wire transfer, you must continue to pay your rent and monthly fees using the same method. You may not switch to another payment method (credit card).

We are unable to accept international wire transfers for the Housing Service. Thank you for your understanding on this.

Minimum Registration Fee

Regardless of the payment method, there is a minimum registration fee of ¥30,000 for credit card payments and ¥40,000 for debit card and wire transfer payments.

Total Monthly Rent

Total Monthly Rent = Rent + Maintenance Fee + Parking Fee* + Any Other Monthly Fees**

(*) If your housing includes a paid parking space.

2. Contract Processing Fee

The GaijinPot Housing Service will be assisting you in English throughout the process of applying for your apartment. This includes acting as your interpreter when you deal with the listing agent or the property manager and providing you with all contracts and documents in English.

As such, we cannot waive the Contract Processing Fee under any circumstances.

The Contract Processing Fee will vary depending on the property, and will be detailed in the quote you receive from us.

3. Sub-Leasing Fee

The GaijinPot Housing Service will be taking out a corporate lease for the property on your behalf. The sub-leasing fee is the fee we charge for sub-leasing the property to you.

Credit Card Payment

If you pay your rent with a credit card, the monthly subscription fee is equal to 8% of your Total Monthly Rent (+ 8% consumption tax).

Debit Card or Domestic Wire Transfer Payment

If you pay your rent with a debit card or by wire transfer, the monthly fee is equal to 9% of your Total Monthly Rent (+ 8% consumption tax).

Total Monthly Rent = Rent + Maintenance Fee + Parking Fee* + Any Other Monthly Fees**

4. Additional Fees

Additional fees include a lock exchange fee when you move in and a mandatory cleaning fee when you move out.

Some properties will also require a contract renewal fee and a contract renewal processing fee, if you choose to renew your lease after the initial two-year term. Details can be found in the quote we will provide to you.

  1. Lock Exchange Fee. As is standard with rental apartments in Japan, before you move in, the key cylinder will be replaced (the locks will be changed). Tenants are responsible for paying this fee.
  2. Cleaning Fee. As is standard with rental apartments in Japan, there is a mandatory, non-waivable cleaning fee when you vacate your apartment. The exact amount will be calculated when the apartment is inspected, after you move out, and there may be additional fees depending on the condition of the property. Please read your lease carefully for details.
  3. Contract Renewal Fee. This fee is not applicable to all properties. We will tell you whether there is a contract renewal fee before you sign the initial two-year lease. If you decide to extend your stay after the initial lease expires, you will be charged a contract renewal fee. The actual fee varies by property. 
  4. Contract Renewal Processing Fee. This fee is not applicable to all properties. We will tell you whether there is a contract renewal processing fee before you sign the initial two-year lease. The actual fee varies by property. 

2 What are the initial move-in costs? Will you provide me with a quote?

Before you view the room, we will email you a detailed line-item quote of the fees for the specific property for which you are about to view.

The initial move-in costs will vary depending on the specific property and your exact move-in date, as you will be paying the first month’s rent on a pro-rated basis.

Also, some properties may require that you pay key money and/or a security deposit. If so, these fees will also be included in the Initial Costs Quote.

3 Will I have to pay key money and/or a security deposit?

Almost all the properties offered by the GaijinPot Housing Service require a security deposit, and some properties also require payment of key money.

4 How do I pay my rent and monthly fees?

Credit Card Payment

If you chose to pay the Housing Service registration fee with a credit card, you must continue to pay your rent and monthly fees with a credit card. You may not switch to another payment method (debit card or wire transfer).

We accept any VISA, MasterCard, American Express or JCB credit card issued in Japan or overseas.

Your monthly rent and monthly service fees will be automatically charged once you register your card on our secure online payment system.

Debit Card or Domestic Wire Transfer

If you chose to pay the Housing Service registration fee with a debit card or by wire transfer, you must continue to pay your rent and monthly fees using the same method. You may not switch to using a credit card.
